It is Spanish law that all guests (including children) staying in short-term holiday rental properties must be registered with the authorities. Royal Decree 933/2021 outlines the requirements.
On 2 December 2024, the Guardia Civil and National Police guest registration platforms were replaced by the new SES Hospedajes system. All holiday rental owners must now be registered with SES Hospedajes to comply with Spanish law.
To register with SES Hospedajes you need a digital certificate, Autofirma software, and to navigate a complex bureaucratic process. Villa Check In can handle every step on your behalf.

Do it yourself via SES website
Manual data entry for every guest. Requires a digital certificate, Autofirma software, and significant time. Not recommended — the platform is complex, prone to errors, and has no support.
Self-service online tools
Tools like GuestAdmin are useful if you're tech-savvy. You'll still need to manage your own bookings, chase guests, and handle data issues yourself.

Process
How Villa Check In Works

Add a booking
Log into your portal and enter the lead guest's name, email, mobile number, arrival/departure dates, and number of guests. That's all we need.
Guest self-registers
Your guest receives a secure, branded link and completes their registration from home — at their own convenience, in their own language.
We review and submit
Our team reviews every submission for errors before sending to the SES Hospedajes system. 99% first-attempt success rate.
Guest gets access details
Once complete, the guest automatically receives your property access information — keybox codes, directions, WiFi details, and more.
